We Know Your Business – Part 2

In our previous article,  “We know your business Part 1″, we give a rundown of the type of business we work with, what is we do and why we do it so well. This week we will be focusing on who we are, where we are based, who answers your calls, why we stand out amongst the crowd and finally, where we are going in the future.

Who are we, where we are based and who exactly answers your calls?

Call Pal was founded in 2016 under the Gray Office Park banner. We had provided call answering services to many of our serviced office clients since 2011, but in late 2016 we decided to rebrand the service and take it nationwide.  Since then, we have grown from 2 staff to 15 and now provide our services to over 200 clients. These clients include many SME’s, Large Enterprises and even Government Departments.

Our Call Answering Agents are all based in Galway City. We do not outsource to any external providers and are very proud members of Guaranteed Irish. We pride ourselves on the great team we have built here at Call Pal. Check out our meet the team page here: https://www.callpal.ie/meet-our-team/

What makes us stand out among the crowd?

As we have already shown – (see We Know Your Business – Part 1 ), unlike other providers, we provide flexible packages and adapt them to best suit your business. Our call packages are based on call volumes, not minutes.  We do not have any hidden charges. Our team is all based in Ireland, and we do not outsource to any external service.

And finally, and most importantly, our team. All Call Pal agents receive thorough training before they start answering calls. They are professional, enthusiastic, and helpful.

Where we are currently, and what is the road map for the future?

In the last few months, we have expanded our team with four new agents and extended our opening hours to Saturdays. We have also launched our fully managed Live Chat Service, and we have plans to move to 24 hours a day, 7 days a week, in 2022.

That is “Who we are”,  “Where we are based”, “What makes us stand out among the crowd” &  “Where we are going” in a nutshell. Simply put, we are a call answering company, and we are very good at what we do. Speak with the team today to find out about our 2-week free trial and become the latest Irish business to benefit from working with our excellent service.

We Know Your Business – Part 1

We work with Solicitors, Accountants, Bakers, Chiropractors, Government Departments, Construction & Building Contractors, Real Estate Agents, Hardware Stores, Language Schools, IT Companies, Marketing Agencies, Web & App Developers, Event Planners, Recruitment Consultants, Gardeners, Physios, Architects, Online Shops, Multi-Nationals, Medical Surgeries and more.  So, when we say we know your business, we mean it!

Taking this on board, we think it is time for other businesses to learn a bit more about us, turnabout is fair play, after all.

What do we do and why do we do it so well?

Primarily we are a call answering company, and this service comes in many facets:

  • Call Answering: This is the main service we offer to most of our clients. All calls will come through to our team of agents and they will take details and forward the messages (Email or Text) or we can try your extension/mobile to see if you are free and transfer.
  • Switchboard Overflow: When your in-house team are facing high call volumes, the overflow service will have any unanswered calls forwarded through to our team to assist. This service can also be used to cover when staff are off on lunch, away from their desk or taking holiday leave as well.
  • Short-Term Cover: This service is perfect for covering staff leave or unexpected absences. It is a once-off service with no contract that can help you cover the times when your permanent staff are absent from work.

We also provide diary management, fully managed live chat services, and smart numbers.

What makes us different?

Well, from the very start of Call Pal, we made the decision to always hire more agents than was strictly necessary. Doing this allows our team to deal with unexpected surges in call volumes smoothly and covers any unplanned staff absences.

We also made a point to ensure that all agents are adequately trained up on any new client that comes on board. This allows the whole team to become more familiar with each customer and instead of just answering calls for the customer they act as an extension of their existing team.

And finally, we do not lock you in packages and slip in hidden charges. Our pricing is extremely transparent, and our account management team monitor all customers packages to make sure they are getting the most value for money. If you are on a higher package and we notice your call volumes have consistently dropped then we will move you down to a lower package. The same is true if your call volumes increase and it makes more sense for you to move up a package rather than paying individually for the additional calls.

The truth is that most businesses don’t truly realise the full scope of benefits Call Pal provide until they start using our service.

The bottom line…

That is “What We Do” and “Why We Do It So Well” in a nutshell, we are a call answering company and we are very good at what we do. It is as simple as that. Speak with the team today to find out about our 2-week free trial and become the latest Irish business to benefit from working with our excellent service.

How Can Call Pal Help if We Already Have a Receptionist?

Our team are ready to assist with your calls even if you have a receptionist. We know that you dedicate valuable time and resources to employing competent people so we can help if you do not want your receptionist tied to the front desk. Furthermore, if your receptionist needs to step away to do tasks like sorting post or welcome clients, switching on a divert to Call Pal is viable and simple. Having the safety of Call Pal’s support will save you from missing calls while your reception can have their role diversified and broadened. Trying to find staff is difficult and when you get a good staff member, you want to progress them. Call Pal can also offer a short-term or holiday agreement. This ensures that you do not drown in calls while your full-time receptionist is on holidays or sick leave.

No matter how competent your receptionist is, they could be prone to understating how many calls are missed or how long clients are placed on hold. If staff are over-run they often do not realise how many calls are being missed. They may not admit to feeling overrun, however. Call Pal can provide your senior management with a full and exact overview of the types and quantity of your calls. You can be bcc’d into every message sent or have all messages go to one specific email – be this a senior manager or the general ‘info’ inbox.

So, what are you waiting for? Who is Call Pal for?

Whether you are a start-up company or have been in existence for decades, our staff can be there when you are too busy to take calls. We do not believe you should be spending money on marketing if your prospective clients meet a voicemail every time they reach out by telephone. Having an outsourced call answering service means that calls will never go unanswered. During busy periods, you can allow your overflow calls to be directed to Call Pal. We can handle any unexpected surge in calls. This means you will never lose out on potential business.

Pricing for Call Pal’s services is based on the volume of calls taken. This means that you will pay less when you are not so busy. The bottom line is that you do not need to invest in hiring full-time receptionists, outsourcing your calls to us is a cheaper option.

We can provide our clients with localised telephone numbers so that your company can have a presence nationwide. In a similar vein, using a phone answering service can make your company look bigger. In your caller’s mind, they are dealing with a business of substance and depth, even if you are just starting up.

If you are not sure that you need the assistance of Call Pal, we offer a two-week free trial. A free trial means that you can measure whether a virtual receptionist will benefit your business. During your free trial, you can check the quality of the service. Call Pal will also suggest approximate costing going forward based on the number of calls taken during the two weeks.

So, what are you waiting for? Why You Should Trust Call Pal?

At Call Pal, we can provide various services, from call answering and holiday cover to overflow call answering and live online chat. Virtual receptionists could be an asset to your team, wholly or as an addition. Each member of the team receives detailed training before they take a call. They take calls equipped with a script that has been fully approved by you. Your telephone calls will be handled by professionals who will act as representatives for your business.
Call Pal agents will learn to know and understand your company procedures and staff. They will be able to answer frequently asked questions using your pre-approved script. As your business experiences the ebb and flow of life, your time will become increasingly valuable. A few short calls may not be an issue to begin, but if the quantity builds up, they could start taking up too much of your working hours.
The Call Pal team will act just as you would expect any receptionist. They will take all incoming calls and transfer them through to the internal extension or mobile number of your staff. If you would prefer the agents not to transfer, messages are taken and swiftly sent by email or SMS. All this is done seamlessly and without callers being aware that they are speaking with a virtual receptionist. If your company operates with appointments, the Call Pal agents learn how to use your calendar and diary software. They can book, cancel, and rearrange appointments for you. This leaves you with the ability to focus on back-to-back appointments without stressing about how next week’s diary will get filled.

So, what are you waiting for? Start taking advantage of the benefits of Call Pal today, our professional team will help meet and exceed all your customer expectations.  Our dedicated team of Call Pal PA’s work with over 200 Irish businesses delivering exceptional customer service and maintaining the lines of communication between them and their customers. asdale clinic logo

I first enlisted the services of Call Pall for my clinics almost a year ago, when during the COVID pandemic, my previous call services company couldn’t cope with the disruption and stopped supporting me. This meant I was both trying to deal with my clients’ bookings, calls and issues along with trying to keep the normal basics running in my Cork and London clinics. As for many people, it was an extremely stressful time for me to say the least, while at the same time as a practitioner, I was trying my best to help my clients’ with their own well-being.
A friend recommended Call Pall, and to be honest, at first, I didn’t wish to deal with a new company, my system of bookings, have to explain the way I did things etc., etc., but eventually, I had no choice and really needed help. So I made the call.
From the minute I contacted them, it was a completely refreshing experience. I was immediately put at ease, it was almost like a business counselling experience. Donna explained that she had spoken to many people in the same position as me, and they had step-by-step, arranged for my old number to be used, put on a call divert, used my own calendar system (and also recommended better ones) and gradually go back to “normal”.
She offered a month of service with no pressure to see how things would go, but by the end of the first week I had made up my mind. Not only was I back to my old level of service but within a few days, my clients one-by-one were commenting on how well they were treated when they called to book in with me. No longer were they treated by a busy or terse greeting, they were greeted with warmth and patience, which at a time when you are in pain or need to make a medical appointment is very much appreciated.
Almost a year later, I still somehow feel their service is too good to be true, and there must be a catch, but this is very much not the case. They charge me much less than the previous company and have reduced my bill without me needing to ask when I had periods with less than expected calls. Similarly, in busy times, they have optimised my bill for me, only charging for what I have really used.
My experience with them is the same I hear every day when my clients meet me. They arrive in a positive frame of mind having been dealt with compassionately and professionally by them. Call Pall has been an absolute breath of fresh air for me. I can’t recommend them highly enough and am happy to share my experience with anyone who would like to contact me about this.
I have been around the block with too many call companies already, save yourself the hassle and expense of dealing with others and do yourself a favour. My experience with them has been nothing short of excellent on every level and I highly commended and recommend Call Pall.
Thank you, Rachael, Donna, Zoe, Lisa, Niamh and all the team at Call Pall for making my journey into work to my clinic something I now look forward to every day. Knowing that no matter what crops up, I can relax, am fully supported and can completely rely on you.
Gratefully, Martin.

This is the Final Week of our series of we ask our experts posts. This week we had a virtual sit-down with Finplan CEO & Founder Ross Harrison. We sat down to look at the mortgage industry and see what advice he has for buyers in Ireland. Whether you’re a First Time Buyer, want to Remortgage or it’s time to Move Home, Finplan are here to make it simple.

We hope you enjoy the following feature, there are many helpful takeaways.

Finplan
Ross Harrison/ CEO & Founder

Today’s post is all about Mortgage Advice Services as we speak with Finplan CEO Ross Harrison.

Tell us a bit about your company.

Digital Mortgage Advisor, helping people pay less for their mortgage.

What would be your top 5 saving tips for a 2021 ‘sunny day fund’?

  1. Put the money into a savings account the same day you get paid.
  2. Automate it (set up a Direct Debit or Standing Order).
  3. If saving every month is new to you, start with a manageable amount and gradually increase it every month.
  4. Once you hit a reasonable target savings amount, work on other areas of your personal finances (paying off short term debt, savings for other goals, retirement etc.).
  5. If you have any personal loans consider putting some of the money you save every month off those loans (The Banks and Credit Unions pay near zero on your savings but charge 7% plus on personal loans).

What tips would you have for rebalancing budgets due to a reduction in work and how to soften the effect on households?

Know your basic monthly outgoings. Break it down into 3 categories:

  1. Essential.
  2. Nice to have.
  3. Can do without.

If your essential outgoings are greater than your income, seek professional financial advice straight away. See what arrangements you can make with Banks, Landlord, Utility Companies etc. There are ways to solve it if you take the time to do up a plan and engage.

Although this is a time of disruption, would you agree that it is also a time of opportunity?

Yes, remote working has created a new lifestyle for workers in many industries and created many good opportunities. On the flip side, some sectors such as retail and hospitality have been affected really badly. Hopefully, opportunities for the worst affected sectors emerge during the year.

What would be your top tips for people planning home improvements or buying a property in 2021?

For home improvements, do up a budget, get your costings and then work out the best way to pay for it (using savings, personal loan or remortgage). Get references from your preferred contractor or tradesmen’s previous jobs. After agreeing on costs and spec, agree on a work schedule (in writing). This should include what will be done at each stage and the estimated timeframe to complete each stage. Agree on how much you will pay at each stage of completion. If a stage isn’t completed, adjust or postpone the amount you pay until it’s completed. Have a contingency fund for unforeseen work and overruns.

If you are buying a property, for your mortgage, do not limit your choice or research to your current Bank. They can only sell their product and will not tell you if a better deal is available elsewhere for your circumstances. Consider talking to a mortgage advisor/broker who can advise on multiple lenders, they will likely save you lots of money and avoid headaches with the application process.

Beware of the Cashback mortgage deals. You typically pay a higher interest rate for those deals. There are cheaper options available if you don’t require cashback, so take advice and make an informed decision.

Have you noticed a significant impact on mortgages and the housing market?

Demand for mortgages is high at the moment, and there are not enough houses available. Lots of people renting want to buy as the monthly mortgage repayments are usually cheaper than rent.

With people being able to save more every month and the lack of supply, this is pushing prices up.

Have you noted any trends within the housing market and the availability of properties?

People are bidding on and buying houses without seeing them. The time from advertising to sale agreed is taking as little as 2 weeks in high demand areas.

Some of the properties currently going up for sale are from investors taking the opportunity to offload properties bought in the downturn. The condition of these properties can be very poor, online viewing and bidding is helping these investors get prices they could only have dreamed of pre covid.

There is a huge lack of supply for 3-bed and 4-bed family homes.

What is the number one thing you wished people knew about your company?

Anyone that has a 20 minute call/consultation will be better off financially for the rest of their lives (even if they don’t do business with us).

How can the financial services market best rise to the challenge / How has your business changed in the last year?

Financial Services companies need to make it easier for customers to do business remotely.

We have been applying a digital and paperless business model since March 2019. The impact of Covid just sped the Banks and lenders up in accepting it as the norm.

We are seeing more Banks and Insurance Companies start to accept electronic signatures and digital applications, so this is making it easier for people to do business.

What is the most positive thing to have happened for Finplan in the last year?

Partnering with a large US tech firm to deliver impartial mortgage advice to their staff based in Ireland. This was as part of the company’s overall employee benefits package.

If you could go back 12 months, what piece of advice would you give yourself?

Be relentless in reviewing and testing client engagement and all the interactions and experience. We are continuously looking for ways to make it easier for our clients to engage and improve our customer experience. There are always small improvements you can make. The mortgage industry and Banks usually do what makes it easy for them instead of making it easier for their clients.

If you have any specific questions regarding Finplan and how they can help you, please let us know and we’ll pose these questions on your behalf. Alternatively, please visit finplan.ie/

This week we had another virtual sitdown with BKRM Nexus Director Ciara FitzGerald, a Chartered Accountant and Qualified Financial Advisor. We sat down to take a look at the financial industry, what advice she has for Irish businesses and in general. BKRM Nexus, established in 1981,  are Accountants, Registered Auditors & Business Consultants that are experts in helping you form and build a successful business.

We hope you enjoy the following feature, there are many helpful takeaways.

BKRM Nexus
Ciara FitzGerald / Company Director

Today’s post is all about Accountancy Services as we speak with BKRM Nexus Director Ciara FitzGerald.

Tell us a bit about BKRM Nexus

BKRM Nexus is a firm of professional Dublin Accountants. We provide a full range of accountancy and advisory services to individuals, sole traders and companies. We are based in Blackrock, Dublin.

We have been in business in Dublin since 1981, our team is comprised of both experienced partners and young talent. We’ve got experience, energy and drive. We are approachable and friendly too!

We provide a wide range of services from audit and accounts preparation, payroll, VAT, bookkeeping and taxation and wealth management advice.

Any tips for businesses having gone through a major upheaval that might be experiencing financial difficulties?

Take stock of your business. What are the businesses biggest challenges, what strengths does it have and what are the potential opportunities? Figure out how to address the challenges to minimise impact, applying the strengths your business has to also exploit opportunities the current crisis has created.

We have many clients who are surviving the current crisis by pivoting their businesses and thinking of new ways to generate income where they can, whether this is a move to selling their products online to providing take-aways.

We have been there for our clients to help guide them through this phase, we have helped them improve financing by availing of the various government schemes available.

Why in your opinion should start-up businesses use an accountant?

Start-ups should absolutely engage an accountant! There is a lot to consider in starting your business

A person might be so focused on product development and marketing that they forget the financing and compliance side. There are a lot of legal and regulatory pitfalls that can result in unnecessary costs for an already underfunded start-up.

We can help by managing the compliance and regulatory side so that the business owner can focus on the growth of the business.  We can also offer advice on the marketing and sales plan, we can prepare budgets and cashflow projections which are invaluable in providing focus to a business owner as well as being a tool for monitoring business performance.

Many people are of the opinion that we will be entering the roaring 20’s once the vast majority of the world is vaccinated as many people have not been able to spend their disposable income. Would you agree?

I think this could be true for certain sectors of the economy but for other sectors, like travel, entertainment and hospitality, there is still massive uncertainty over the continued duration of world-wide government restrictions and there is no clear timeline for some companies to plan. How long these restrictions go on for will dictate the likelihood of survival. Only those that have been able to avail of government or outside assistance and those with sufficient reserves are likely to be able to sustain the prolonged restrictions.

But one thing will always remain true: that the laws of supply and demand will prevail. Once the economy opens back up, the demand for services like travel, entertainment and hospitality will increase and this means that existing companies will be able to take advantage and newcomers will enter the market to replace those that didn’t make it.

For people that have saved over the past 12 months, would you encourage them to invest or start a pension?

Cash is not a good investment at the moment. Nobody is earning deposit interest and in fact, some institutions are charging negative interest for keeping large amounts on deposit. For this reason, it may be worth considering investing some surplus cash as you are likely to earn a better return than if you kept it in your savings account. A lot of people resist investing their money as there is always a risk that your investment won’t perform, and you could lose your shirt. However, if you have cash on deposit that you don’t need access to in the short-term, it may be worth engaging an investment professional to guide you through the process of investing your money. These professionals will assess your risk appetite along with your long-term and short-term financial goals and will advise on the best plan of action for you.

Investing in a pension is always a good idea. Though you won’t be able to access it until you retire, it will provide a valuable source of income later in life when you no longer earn a salary. A person can also get tax relief on pension contributions made in a year up to a certain limit so it will also reduce your tax bill!

Although this is a time of disruption, would you agree that it is also a time of opportunity?

As Winston Churchill said: “Never waste a good crisis”. With change, there is always opportunity. That’s why so many businesses have been able to survive these prolonged restrictions because they have been able to identify and exploit opportunities and make them part of their business plan.

How has your business changed in the last year and will any of the changes you made during Covid be made permanent?

We were lucky in that we had developed systems to enable us to work remotely before the pandemic so the switch to working from home was pretty seamless. One of the biggest challenges has been supporting our client base whilst also maintaining our cash flow and quality of service. I think that Covid has forced us to become better communicators. We haven’t been able to meet our clients face-to-face and we have had to improve our communications through telephone, Zoom and email. That is a skill that I think will stick with us.

What is the most positive thing to have happened for BKRM Nexus in the last year?

The pandemic shook up the status quo. It forced us to take stock of our own business, identifying strengths, weaknesses, opportunities and threats so that we could position ourselves for survival first and foremost but also for potential growth. We have become more focused on business development and we monitor performance on a weekly basis.

What is the number one thing you wished people knew about your company?

That we are more than just accountants. We see ourselves as your business partner. We are invested in the growth and development of your business and can provide advice in this respect. We aren’t just number crunchers, we are like a doctor reading an x-ray, providing you with information to make critical business decisions.
